Plain English summary: You send us your business paperwork. We organize it using AI and send you a weekly summary called The Rundown. We keep your stuff confidential. We are not accountants — this is an admin and organizational service. AI processes your data on servers that may be located in the United States.
A free look costs nothing and doesn't sign you up for anything. You send us one month of paperwork, we send back a Money List, and you decide whether to go ahead. There is no obligation to become a client.
We use your free-look files only to prepare your Money List. They are handled by the service providers listed in our Privacy Policy, and the AI processing in section 4 applies. If you don't go ahead, we delete your files within 30 days of sending your Money List, or sooner if you ask. We keep the Money List we sent you and our review notes for 12 months, in case either of us needs to look back, then delete them.
Your Money List is an organizational summary, not accounting, tax, legal, or financial advice. Section 2 applies to it the same way it applies to The Rundown.
No promise of money found. We can't promise a free look will turn up any money, or any particular amount. Some months nothing was missed, and that's a fair answer too. Amounts on a Money List are what your paperwork shows. They are not money recovered. Whether you collect any of it depends on you and your customers.
Truck Cab Ops ("we," "us," "our") is a business administrative and organizational service based in Ottawa, Ontario, Canada. We do back-office work for small trade crews in Canada and the United States. You forward us your paperwork, and we prepare a Money List, a weekly summary called The Rundown (sent Mondays), and draft emails for you to send.

What we do: We receive documents, receipts, invoices, and other business materials you forward to us by email. We organize, categorize, and summarize that information using AI tools and deliver it back to you as a formatted weekly PDF report (The Rundown).
We're not your accountant. Truck Cab Ops is not a CPA, a chartered professional accountant, an accounting firm, a bookkeeping firm, a tax preparer, or a law firm, and nobody here acts as your lawyer. We do not:
Summaries in your Money List and Rundown are based on the information you send us. We do not audit, verify, or guarantee any figures. Check amounts against your own records.
Tax notes (such as receipt categories, HST or GST flags, or US sales tax flags) are there to keep things tidy, nothing more. Check anything to do with tax, legal or audit matters with your own accountant or lawyer before you act on it.
We draft; you send. We never send emails, invoices or anything else to your customers or suppliers. Anything we draft is a suggestion. Once you choose to send it, it's yours, and you are responsible for what it says.

By subscribing to Truck Cab Ops — whether through our website, a payment link, or by forwarding materials to our intake email — you agree to be bound by these Terms of Service and our Privacy Policy.
If you do not agree to these terms, do not use our service.
Our service uses artificial intelligence to process your submitted materials and produce The Rundown. By using Truck Cab Ops, you explicitly consent to your information being processed by AI tools as described in our Privacy Policy.
This includes processing by AI language model providers (such as Anthropic) whose servers may be located in the United States. We use these providers only under settings or terms that do not allow your data to be used to train their models.
AI-generated content may occasionally contain errors. Your Rundown is a tool to assist you — not a replacement for your own judgment. Review all content before acting on it.

The quality and completeness of your Rundown depends on what you send us. We organize what you provide — we do not independently verify or source information.
Draft emails in your Rundown are suggestions for your review. You are responsible for reviewing, editing, and deciding whether to send any communication we draft, and for anything you send.
Your rate: you pay the rate in your written agreement with us, on the billing schedule it sets out. The Core plan founding rate is $239 a month (CAD), or $2,390 billed yearly. Your membership starts when you accept that agreement (or complete checkout, if you pay by card), and by doing so you agree to these Terms. You can cancel anytime; cancellation takes effect at the end of the billing period you have paid for.
Founding clients keep their founding rate for their first 12 months from signup, as long as they remain a client without a break in service. The founding rate covers the service agreed at signup; added services or a significantly larger scope are quoted separately. If a founding client cancels and later returns, current rates apply.
Currency: clients in the United States are billed in US dollars. Clients in Canada are billed in Canadian dollars. Your written agreement shows which currency applies to you.
HST / Tax: Truck Cab Ops is currently a small supplier under the Excise Tax Act (Canada) and is not registered to collect HST. No HST is charged on our services at this time. This may change as the business grows, in which case we will notify subscribers prior to any tax being applied. If a US state or local sales tax ever applies to our service, we'll tell you before it is charged.
Card payments, where used, are processed securely by Stripe. We do not store your credit card information.
You may cancel your subscription at any time with no penalty. There are no contracts and no cancellation fees.
To cancel, email info@truckcabops.com. Cancellation takes effect at the end of the current billing period. We do not issue partial refunds for the remainder of a billing period that has already started.
We treat all client information as strictly confidential.
By submitting materials to Truck Cab Ops, you confirm you have the right to share those documents with a third-party administrative service.
Your files are stored and processed in Canada and by service providers that may be in the United States (cloud storage, email and processing tools), so they may be accessible to Canadian or US authorities under lawful process. By using Truck Cab Ops, you agree that:
Truck Cab Ops provides an organizational and administrative service. We make no guarantees regarding specific financial outcomes, tax savings, or business results, and we don't guarantee that we'll find or recover any amount of money for you.
To the maximum extent permitted by applicable law, Truck Cab Ops shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of our service, including errors or omissions in your Rundown, missed deadlines, or decisions made based on Rundown contents.
Our total liability to you for any claim arising from this service shall not exceed the total fees paid by you in the 90 days preceding the claim.
Your data remains yours. We claim no ownership of the information you send us. The format, templates, and systems used to produce The Rundown are the intellectual property of Truck Cab Ops. You may use your Rundown for your own business purposes but may not resell, redistribute, or white-label our service or packet format.
We will make reasonable efforts to deliver your Rundown every Monday morning. In the event of unforeseen circumstances that prevent timely delivery, we will notify you as soon as possible. We reserve the right to suspend or discontinue the service with reasonable notice.
We may update these Terms of Service from time to time. When we make significant changes, we will notify active subscribers by email at least 14 days before the changes take effect. Continued use of the service after changes constitutes acceptance of the updated terms. The current version is always available at truckcabops.com/terms.html.
These Terms of Service are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein, including PIPEDA. Any disputes shall be subject to the exclusive jurisdiction of the courts of Ontario.
This doesn't take away any consumer protection that the law where you live gives you and that can't be waived by contract. If a law like that applies to you, it still applies, and nothing in these Terms is meant to override it.
